Task Management: Frequently Asked Questions
Last updated: April 30, 2026
Is there a way to add a location to a recurring task without completely re-doing the task?
Whether a new location is automatically included in a recurring task depends on how the task was originally created.
If the task was set up using a parent location for example: “US Retail,” then any new locations added under that parent (such as new stores) will automatically be included in the recurring task.
However, if the task was created using individual store selections or a specific district, new locations may not be included unless they’re part of the original grouping. (this especially matters when location hierarchy is adjusted).
The most efficient way to include the missing location without rebuilding the task from scratch is to:
Clone the existing recurring task.
In the cloned version, update the location selection to include the new store or use a broader parent group (like “US Retail”).
Adjust any other task details as needed
Can Tasks Be Assigned “Up” the Organizational Hierarchy?
In Progress Retail, tasks are designed to flow downward or laterally within the organizational structure to support operational clarity and accountability.
Users cannot assign tasks “up” the hierarchy.
If a task requires action or awareness from leadership, we recommend:
Assigning the task to the appropriate operational role (e.g., Department Manager)
Using the task description to outline:
The request or need (such as a required report)
Context or background for leadership
Adding a checklist within the task that documents required steps, submissions, or approvals
Do Task Filters Affect Notifications?
Task filters help users organize and view tasks more efficiently — but they do not control notifications.
What is the On-Time Task Completion metric?
On-Time Task Completion is the percentage of tasks your team submitted or completed before their due date (i.e., not overdue). It is used for performance tracking and incentive programs across locations.
How it’s calculated:
Tasks Submitted or Completed On-Time
Total Tasks Approved or Declined
Tasks still in a “submitted” or “pending” state are not counted until approved or declined.
When is a good time to review the On-Time Completion metric?
Review the metric at the end of a completed reporting period, such as after the close of a full month or quarter. At that point:
All submitted tasks should have been approved or declined.
No new tasks will be added to change the denominator.
The percentage will be stable and comparable across locations.
How do I see the individual tasks that make up the completion percentage?
Navigate to the task reporting view and filter by location and date range. The task list will display each task’s submission date, due date, and status (on-time, overdue, pending approval, etc.).
Keep in mind: tasks still in a “submitted” or “pending approval” state will appear in the list but will not yet be included in the percentage calculation. This is by design, and those tasks will be counted once they are approved or declined.
Why did the percentage change when I looked at the same date range on different days?
This is expected behavior. The metric is a live calculation, so it shifts as tasks move through their approval workflow. Two things can cause it to fluctuate:
Pending approvals — Tasks submitted on time but not yet approved or declined are excluded from the calculation. Once they are resolved, they get counted, which raises the percentage.
Newly published tasks — If new tasks are published mid-period but are not yet due, they can shift the denominator and cause the percentage to move up or down.
How do I delete a task from a specific store's history?
Log into Progress Retail tenant
Click on Tasks, then go to Tasks by List
Click on the specific task you want to delete
Open the location tree drop-down to see all stores assigned to that task
Click on the store(s) you want to remove the task from
Click the trash can icon to the right of the location
This deletes the child task and its history for that specific store only — other locations assigned the same task are not affected
